2. Personal data we process
When you submit a contact or support form, we process the information you provide: name, email address, company and sector (where requested), category and subject of the enquiry, message and the page from which you contacted us. Your message may contain other personal data that you choose to include. Public forms do not ask for a telephone number.
When you browse the website, technical providers may process request and device data such as IP address, browser, operating system, URL and page visited, referral source and technical information needed to deliver the website. If you consent to analytics, we may also measure page views and navigation events; URLs may include parameters present in the address you visit.
3. Purposes and legal bases
- Responding to enquiries and support requests: pre-contractual steps taken at your request (Article 6(1)(b) GDPR) and, for support, management of an ongoing relationship.
- Website security, availability and operation: the controller's legitimate interests (Article 6(1)(f) GDPR), balanced against users' rights.
- Measuring website use through PostHog and Vercel Analytics: consent (Article 6(1)(a) GDPR). Analytics tools are loaded only after you make an affirmative choice in the banner.
- Meeting legal obligations or protecting rights: a legal obligation (Article 6(1)(c)) or the legitimate interest in protecting rights (Article 6(1)(f)), as applicable.
Analytics consent is optional and can be withdrawn at any time by changing your preferences in the website footer. Refusing consent does not prevent you from using the pages or submitting an enquiry.
4. Tools and service providers
We use Vercel for website hosting and infrastructure. After consent, the website may load PostHog to measure pages and events and Vercel Web Analytics for traffic statistics. We use Resend to receive and deliver form messages; submitted data is sent by email to the Prominence team and, where applicable, to the email address provided for confirmation.
Providers may process data on behalf of the controller under the relevant agreements or act as independent controllers for specific activities. For information about storage technologies, see the Cookie Policy.
5. Recipients and transfers
Data is accessible to authorised staff and the providers listed above, only as needed for their activities. Data may be disclosed to public authorities where required by law.
Some providers may process data outside the European Economic Area. Any such transfer must rely on an adequacy decision or other safeguards provided by the GDPR, such as standard contractual clauses, under the agreements applicable to the service.
6. Retention
Enquiries submitted through forms and related communications are kept for as long as needed to handle them and maintain a record of business or support relationships. They are then deleted or retained only where necessary to meet legal obligations or establish, exercise or defend a legal claim. Technical data is kept for as long as needed to secure and operate the website. Analytics retention periods depend on the service settings and agreements in force.
7. Providing data
Information marked as required in a form is necessary to submit the enquiry and receive a reply. If you do not provide it, we may be unable to handle your request. Other information is optional. Technical data needed to transmit and secure the website is generated while you browse.
8. Your rights and complaints
Where provided by the GDPR, you may request access, rectification, erasure, restriction or object to processing and, where applicable, request data portability.
